V3CT0R retail

Questions before you commit

It’s your business.
Ask the hard questions.

What will it change in the shop? What does it cost? Can you trust the numbers? Here’s what to establish before connecting your data.

Value & costs

Does it earn its place?

What problems does V3CT0R retail help me solve?

The daily decisions that get harder as you add shops: which site needs attention, why margin has changed, what to order and whether stock could earn more somewhere else.

The aim is to spend less time piecing the picture together and more time making a useful decision. The first workflow should target a job that is costing you time or money.

How would we know it is paying for itself?

Agree a baseline and a success measure before starting. That might be time spent preparing orders, a margin issue addressed, unnecessary purchasing avoided or slow stock moved and sold.

Measure completed actions and observed outcomes. Compare similar periods and account for changes in sales volume, promotions and trading conditions. An opportunity on a report is not a realised saving, and the same benefit should not be counted twice.

Will it guarantee higher margins or lower costs?

No fixed percentage is promised. Results depend on the quality of your data, the opportunities in your shops and the actions you choose to take.

It gives you a better basis for reviewing product costs, prices, stock and orders. You should judge it on what changes after you use that information.

What does the retail offering cost?

Monthly packages are £50, £100 or £150 per store. One-off setup is £1,500 for your first shop, reducing by £250 per additional shop to a £500 floor.

Your selected package is free for the first 30 days after your agreed setup is validated. Setup fees apply. Bespoke connections, substantial data cleanup and separately scoped workflows are quoted before we start.

See packages and setup fees.

Does this replace my accountant or show the whole profit and loss account?

No. Sales, recorded product costs and gross profit tell you about trading performance. They do not automatically include wages, rent, utilities or every other business expense.

Start with the operational decision the data can support. Any wider cost analysis needs the relevant inputs and an agreed scope.

Data & connection

Will it work with my shops?

Do I need to replace my ePOS system?

We start with the system you already use. First we check which sales, stock and cost records it can export or make available, and how those records can be refreshed.

Compatibility is confirmed before the build. We do not assume every ePOS system provides the same fields or access.

What data do you need?

Sales history, product identifiers, dates, quantities, prices and recorded costs support the trading view. Stock snapshots, incoming deliveries, supplier pack sizes and ordering constraints support recommendations.

The exact inputs depend on the job. We check missing costs, product matches, VAT treatment and stock accuracy rather than treating every exported number as reliable.

Will all my shops appear in one view?

The estate overview can bring the configured shops together, with a view into each shop. We agree the shops and comparisons that are in scope.

A shop without the right stock or product records may support sales reporting before it supports order or transfer recommendations. We establish which decisions the available data can support before you rely on a recommendation.

How up to date is the information?

It follows the refresh schedule agreed for your data. An overnight workflow can prepare the next review, but it is not automatically a live view of every till transaction.

Check the source dates and coverage when making a decision. Old or missing inputs should be flagged, and a recommendation should be withheld when its required checks do not pass.

How long does setup take?

We confirm a timeline after checking the exports, shop setup, product matching and the first workflow. Data cleanup and supplier mappings can make a material difference.

The first milestone should be a usable result on your own shop data that you can check before relying on it.

Orders, margins & transfers

What will it help me decide?

How does it help with margin?

Use sales and recorded costs to find margin changes, cost increases and product or pricing differences worth reviewing. Then look at the lines behind the headline.

A pricing opportunity is a suggestion to assess, not a promise that customers will buy the same volume after a change. You choose what to adjust and check the result.

What goes into a suggested order?

The engine uses sales history to estimate demand and checks stock, incoming deliveries and the configured supplier cases. The aim is to show what is already covered and what may need buying.

Review the reasons and flagged lines. If the inputs are incomplete or stale, the system should say so rather than fill in a confident order.

Can it help move stock between my shops?

Transfer review is a separately configured engine workflow for eligible shops. It needs reliable product matches, stock records and evidence of surplus and demand.

You review the source, destination and suggested move. Check physical availability, shelf life and the effort or cost of moving it. A difference in stock levels alone is not a reason to transfer, and no stock moves automatically.

Does it place orders or change prices for me?

The workflows shown recommend and explain. You review the proposed order, transfer or price action and make the final call.

Automatic action is not included in the demonstration. Any further automation would need its own scope and explicit authorisation.

Can I ask ChatGPT anything about the business?

You can ask questions supported by the configured retail data, such as sales performance, gross profit, recorded stock and changes between periods.

It should explain what evidence is available and when it cannot answer. The film demonstrates read-only questions; it does not show ChatGPT executing supplier orders or stock transfers.

Access & day-to-day use

Who sees it, and who decides?

Do I have to use ChatGPT?

The reporting portal and order workflow can be used without ChatGPT. The conversational connection is an optional way to ask follow-up questions about the available evidence.

Can my staff use it without seeing sensitive financial data?

Yes. A store-specific staff site gives each team the operational pages agreed for their shop, such as order lists and stock transfers. Staff review the suggestions and carry out the agreed tasks.

Sensitive financial reports, including margin, stay in the owner view. We agree which staff can access each site and which workflows are available during setup.

If you add a ChatGPT or Claude connection, we also agree which data it can access and explain the relevant provider terms.

What happens when the stock count is wrong?

A recorded stock number is only as good as the source. Missing, placeholder or unreliable stock needs to be flagged or excluded. Product and pack mismatches need checking too.

You still check the physical situation before acting on a doubtful line. The purpose is to focus that review, not disguise uncertainty.

What happens after the initial build?

Agree ownership, the data refresh schedule, support and any ongoing costs in the written scope. Changes to shops, suppliers or exports can require adjustments.

Use the first workflow to establish whether it earns its place before adding another one.

Is the film showing a real customer’s data?

No. All trading figures and shop data in the film are fictional. It uses the reporting portal layout and ChatGPT to demonstrate the experience.

The film is an example of the workflow, not evidence of a customer's savings or a guarantee of the results your shops will achieve.
